VENDOR POLICIES:
Vendor Load In: SUNDAY 6AM to 8:30AM - show starts for early birds at 9am. Please be set up and ready for a great weekend!
Please arrive at the Bear Lot FIRST before making your way to the Sky Convention Center loading dock. All vendors are to be respectful to the Demers team during load in and load out. Disrespect towards their staff and/or signs of aggression WILL NOT be tolerated.
For Load out, please do the same, Bear Lot first.
When we are utilizing the loading docks, once the loading dock attendees close that area, late load in and early load out is NOT possible.
If this is a 2 day show, the venue will be locked over night, so load out Saturday is not necessary. Trade night begins at 6:00PM down the hall, please bring whatever you need from the ballroom because the doors will be locked.
PLEASE NOTE: There is no trade night on a Sunday 1 day show.
If this is a 2-day show, PLEASE TAKE YOUR BADGES WITH YOU AT THE END OF SATURDAY. YOU NEED THEM ON SUNDAY TO REENTER THE BALLROOM REGARDLESS OF IF THE EC3CON TEAM RECOGNIZES OR KNOWS YOU. Our security team does not and we will not be interfering with their assigned duties.
The promoter, EC3 team and security team reserves the right to dismiss or ban any vendor from setting up and attending for any reason. This includes the time period in-between shows. We do not tolerate violence, mistreatment, threat or any type of harassment towards other vendors, staff, guests, or attendees during our events and/or prior to our events via social media platforms and/or discord groups.
Reselling your vendor tables is not allowed. If you have someone filling in for you please be sure to forward them all of our emails. If a fill-in does not follow our policy’s you are responsible.
To respect other vendors and their inventory during load in and throughout the show, only those with a vendor badge are allowed behind tables.
Anyone without a vendor badge is not permitted to enter the ballroom until the show begins. During show hours, a vendor badge or attendee wristband must be visible. Our security team reserves the right to stop you.
Each vendor must check in to receive badges. Badges will be given to the first person of the group who checks in. If your group arrives at different times, we ask that you meet the rest of your party in the hallway as they arrive to give them their badge. If additional badges are needed, they will be available at the check-in table at an additional fee.
When you leave the ballroom, you will need to have your vendor badge visible. If a badge or wristband is not visible you will not be able to reenter the ballroom.

Vendors are responsible for transporting their merchandise in and out of the event space. Carts are not provided.
Arriving late for set up and/or leaving early needs to be discussed with the promoter in advance. All vendors should be set up and before 9 am Early Bird Admission. If you arrive after the show begins you may be denied set up and you will not be refunded.
Vendors may not sell counterfeit or fake merchandise. Raffles, games of chance like wheels, dice games, card games are not allowed. Please reach out to us with any questions.
All vendors and their displays must leave the event space no later than 2 hours after the event ends. Please use the trash bins throughout the ballroom.
Vendor space includes: 8ft tables, chairs, table cloths. You may not bring additional tables or chairs. Free standing shelves are allowed as long as you do not block walkways or other tables/set ups.
Walkways need to be maintained in accordance with the rules of the Fire Marshall. No vendor may block entrances or exits. No vendor may intrude in the aisles in front of or to the side of other vendor tables.
There is a No-Refund policy except in the case of an emergency as determined by the promoter.
Vendors agree to abide by all show rules, policies, procedures and to accept the responsibility for the compliance by all members of his or her party throughout the course of the show.
Vendors are expected to share and repost on social media to promote the show in addition to our paid Instagram and Facebook ads, radio ads and marketing across multiple outlets.
Vendors must comply with all local, state, and federal laws. Vendors will not hold management liable for any breaches, losses, or damage to themselves or their property. All vendors agree to hold blameless promoter, EC3 team, sponsors, and Mohegan Sun against any loss, damage, theft, expenses, claims, or actions arising from any personal or property damage, loss, or theft due to said vendors participation at EC3. State tax is the responsibility of the vendor to collect according to state laws.
The East Coast Collectibles Convention reserves the right to cancel vendors and discharge any individual from the event should a violation of these policies be reported or suspected.
Please remember we do have an extensive wait list, if you do not agree with the above terms please let us know and we will release your table to a vendor on our wait-list.
